Custom Umbrella Order Brief: What to Include

custom umbrellas guide

A useful umbrella quotation starts with a clear brief. Tell the supplier what the umbrellas are for, how many you need, what should be printed and where they must arrive. If a detail is undecided, mark it as open and ask for options.

This checklist helps you prepare a first enquiry. For the available models, printing and customisation options, visit our custom umbrella service.

1. Describe the Use and Preferred Style

Will the umbrellas be sold in a shop, used by hotel guests, given to employees or supplied for a golf event? State whether you prefer folding, straight or golf umbrellas and whether the opening mechanism should be manual or automatic. A reference photograph is useful; tell us which details you want to keep.

Label every measurement. Rib length, open diameter and canopy arc are different measurements. For HF Umbrella’s children’s and golf ranges, the usual 16–21 inch and 25–34 inch size ranges refer to rib length, respectively. Confirm the actual model’s open diameter separately. See our umbrella measurement guide.

2. State the Quantity for Each Design

Give the total quantity and the split by artwork or colour. For example, 200 umbrellas with one design is a different brief from 200 umbrellas split across four designs. Confirm whether the sleeve, strap and packaging also change between versions.

HF Umbrella offers selected styles from 25 pieces per design. The final MOQ depends on the model, fabric, printing and other custom components.

3. Send the Artwork and Colour References

Show where the logo or artwork should appear: individual panels, the full outer canopy, the inner canopy, the strap or the sleeve. Attach the available artwork and identify any colours that need particular attention.

For logos, send a vector AI, CDR or PDF file where available. For raster artwork, state its dimensions and resolution at the intended print size. Use the model-specific template before preparing final artwork; our artwork and design support page explains file preparation and colour references.

4. Define What the Budget Should Cover

If you have a target budget, give the currency and say whether it covers the umbrellas only or includes samples, packaging and delivery. Ask the supplier to separate one-off charges from the unit price and identify anything still to be confirmed.

For comparing offers, use our factory quotation comparison guide. A broad price range without a specification is not enough to approve a purchase.

5. Give the Destination and Required Arrival Date

Include the country, city and postal code, plus whether delivery is to one address or several. State the date the umbrellas must be in hand and whether it is tied to an event or retail launch.

Ask for sampling, production and shipping to be shown separately. Confirm when each stage starts and allow for artwork revisions and sample approval. A factory dispatch date and an arrival date are different commitments.

What Happens After the First Enquiry?

The next step is to review the specification, clarify any open details and agree on the quotation and sampling requirements. Before approving production, use the sample approval checklist to record the agreed artwork, construction, colours and packaging.

Can I enquire before the artwork is finished?

Yes. Send what you have and explain the intended print coverage. The supplier can discuss options, while the final specification and price may depend on the completed artwork.

What if I do not know the right umbrella model?

Describe the use, coverage needed, preferred packed size and budget. Ask for suitable options and compare their specifications before choosing.
